JOB RESPONSIBILITIES

  • Oversee and supervise the administrative team, providing guidance, support, and training as needed.
  • Ensure efficient and effective delivery of administrative support services to various departments within the organization.
  • Manage and maintain records, ensuring accuracy, proper filing, and adherence to data protection guidelines.
  • Develop and implement administrative procedures and systems to optimize workflow and streamline processes.
  • Monitor and evaluate team performance, providing regular feedback and implementing corrective measures as necessary.
  • Collaborate with other departments to plan and coordinate administrative support for various projects and initiatives.
  • Manage and prioritize multiple tasks and projects, demonstrating excellent time management skills and attention to detail.
  • Coordinate and oversee logistical aspects of meetings, conferences, and other events, ensuring smooth execution.
  • Serve as a point of contact for internal and external stakeholders, addressing inquiries effectively and professionally.
  • Conduct regular quality checks to ensure compliance with company policies and procedures.
  • Stay updated with industry trends and best practices, identifying areas for continuous improvement.
  • Manage administrative expenses and budgets, ensuring proper allocation and cost control.
  • Foster a positive and inclusive work environment, promoting teamwork, collaboration, and professional growth within the administrative team.

JOB REQUIREMENTS

  • Proven experience as an Admin Supervisor or similar role in a Trading/Import & Export industry
  • In-depth knowledge of administrative procedures, workflows, and standards
  • Strong leadership and supervisory skills with the ability to effectively manage a team
  • Exceptional organizational and time-management abilities
  • Excellent problem-solving skills and the ability to make sound decisions under pressure
  • Proficient in using MS Office Suite (Word, Excel, PowerPoint) and other relevant software applications
  • Strong communication skills, both verbal and written, with the ability to effectively interact with individuals at all levels
  • Knowledge of inventory management and procurement processes
  • Ability to multitask and manage multiple priorities in a fast-paced environment
  • Detail-oriented with a high degree of accuracy
  • Strong analytical skills with the ability to interpret data and provide meaningful insights
  • Flexibility and adaptability to handle changing priorities and tasks as needed
  • Ability to maintain confidentiality and handle sensitive information with utmost discretion
  • Strong work ethic and willingness to go the extra mile to achieve desired results
  • Bachelor's degree in Business Administration or a related field is preferred, but not mandatory. Relevant experience will also be considered.
